HOPATCONG LITTLE LEAGUE BOARD POSITIONS

Hopatcong Little League is comprised of 19 elected positions and several appointed positions.

The Board is comprised of 4 Executive Board positions, 11 Representative positions, 1 Umpire-in-Chief, 1 Uniform & Equipment Coordinator, 1 Safety Coordinator, 1 Auxiliary Coordinator, and several appointed positions.

The Executive Board is comprised of the following positions: President, Vice President, Secretary and Treasurer. These four positions carry a prerequisite of holding a position on the Board for one year.

EXECUTIVE BOARD

PRESIDENT:

The President is responsible for presiding over all Board meetings. This is a non-vote position, however, in a deadlock vote, the President is the tie breaker. The President is responsible for overseeing the everyday operations of the League and is answerable to the District Administrator.  All other Board positions answer to the President.

VICE PRESIDENT:

The Vice President is a voting position.  The Vice President is responsible for filling in for the President at any given time should the President not be available. The Vice President oversees with the President the everyday operations of the League. The Vice President will perform and/or delegate tasks requested by the President. The Vice President is answerable to the President.

SECRETARY:

The Secretary is a voting position. The Secretary is the official record keeper. The Secretary maintains minutes for all meetings as well as all correspondence. The Secretary is responsible for maintaining a permanent file of all League business, including but not limited to, e-mail correspondence, governmental reporting, etc. The Secretary maintains a current list of Rutgers S.A.F.E.T.Y. certified volunteers for the League. The Secretary is responsible for the preparation and posting of all public notices and announcements for the League. The Secretary collects, collates and prepares the folders for the managers at the beginning of each season. The Secretary holds the current insurance policies of the League. The Secretary will perform any task as requested by the President/Executive Board. The Secretary is answerable to the President and Vice President.

TREASURER:

The Treasurer is a voting position. The Treasurer is responsible for maintaining the League financial records. The Treasurer makes all disbursements and is responsible for depositing and recording of all income for the League. The Treasurer is responsible for providing a monthly year-to-date financial report for the Board as well as year end report to aid in the preparation of the Leagues income tax returns as required by law. The Treasurer will perform any task as requested by the President/Executive Board. The Treasurer is answerable to the President and the Vice President.

UMPIRE-IN-CHIEF:

The Umpire-in-Chief is a voting position. The Umpire-in-Chief is responsible for the coordination and assignment of umpires for games. The Umpire-In-Chief is responsible for assigning managers and coaches to ump games to fulfill their volunteer umpiring requirement as managers and coaches. The Umpire-in-Chief is responsible for maintaining a detailed assignment sheet of umpires for end of the season payment. This position is answerable to the Executive Board.

DIVISION REPRESENTATIVES

BASEBALL DIVISIONS: SENIOR, MAJOR, MINOR, FARM, AA, T-BALL
SOFTBALL DIVISIONS: JUNIOR, MAJOR, MINOR, FARM
CHALLENGER DIVISION

All division Reps are voting positions. A Division Rep’s responsibilities include overseeing their respective divisions, rescheduling make-up games. The Rep is a direct conduit between the League officials and the managers. The Reps are responsible to do periodic on-site supervision. The Reps are responsible for reporting to the Information Officer scores from games to be updated to the website. Reps will perform any task as requested by the President or Executive Board. All Reps are answerable to the Executive Board.

UNIFORMS AND EQUIPMENT:

The uniforms and equipment coordinator is a voting position. Their responsibilities include ordering of all uniforms, playing equipment, balls, umpire equipment and safety kit contents for regular season, post-season and tournament play. This position is also responsible for coordinating with the Fundraising Coordinator for sponsor designations to teams. This coordinator is responsible for having the uniforms printed with numbers and sponsor names. This coordinator is responsible for keeping a detailed up-to-date inventory of all equipment and is responsible for allocating equipment and balls to teams at the beginning of the season and is also responsible for their collection at the end of the season. This coordinator will work with the safety coordinator in related matters. This coordinator will perform any other task as requested by the President or Executive Board. This position is answerable to the Executive Board.

SAFETY COORDINATOR:

The Safety Coordinator is a voting position. The responsibilities include setting up the safety kits for each team prior to being allocated to the teams, and keeping them replenished as needed. This position is also responsible for all safety issues pertaining to the children and the League in general. This coordinator is responsible to have up-to-date information on any related safety issue and is responsible for informing the Board/managers of any news relevant being issued from Williamsport. This position works with the uniforms and equipment coordinator in related matters. This coordinator will perform any other task as requested by the President or Executive Board. This position is answerable to the Executive Board.

AUXILIARY COORDINATOR:

This position is a voting position. The Auxiliary Coordinator is responsible for coordinating, scheduling and overseeing the volunteers for the snack stands. This position is responsible for keeping a detailed list of volunteers and their service or nonservice to the League as it relates to volunteer deposits. This position is responsible to provide to the Secretary at the end of the season a detailed report of the volunteer activities for the season. The Auxiliary Coordinator is responsible for the snack stands. The Auxiliary Coordinator will perform any other task as requested by the President or Executive Board. This position is answerable to the Executive Board.

INFORMATION OFFICER:

This position is an appointed position with voting rights. The Information Officer is appointed by the President and must be approved by a majority of the Board. The Information Officer is responsible for maintaining the League’s website at Myteam.com which includes, but is not be limited to, maintaining all registrants, posting scores and other relevant League information. The Information Officer shall maintain detailed rosters at all times and is responsible for providing a complete list to Williamsport, as well at to the Secretary for the permanent file and for submission to the Borough of Hopatcong. The Information Officer will perform any other task as requested by the President or Executive Board. The Information Officer is answerable to the Executive Board.

SENIOR FIELD MAINTENANCE:

This position is a voting position and is responsible for the upkeep and maintenance of the Leagues wholly owned field known as Senior Field. This coordinator is responsible for ordering any supplies needed in the upkeep/maintenance of the field complex. This coordinator will perform any other task as requested by the President or Executive Board. This position is answerable to the Executive Board.

FUNDRAISING:

The Fundraising Coordinator is a voting position is responsible for all fundraising aspects, which include but is not limited to, the ordering of fundraiser, the distribution of the fundraiser, the later collection of the all monies owing and due for the fundraiser, the procurement of sponsors and related fees. This coordinator works together with the uniform and equipment coordinator with regard to sponsors and teams. This position is responsible for procuring the photographer and setting up photograph times for each team in the League. This coordinator is responsible for tracking all fundraiser information and is responsible for providing a detailed report at periodic intervals to the Treasurer and at the conclusion to the Secretary for the permanent file. This coordinator will perform any other task as requested by the President or Executive Board. This position is answerable to the Executive Board. This position in recent years has become part of Auxiliary Coordinator.
